Property and Exhibit Management Systems

Helping to store, track and return lost or seized property

We have a sophisticated web based system to help organisations record, track and report on lost & found, seized or evidential property.  Organisations from the police and customs through to Trading Standards all face similar issues when it comes to recording high volumes of retained property and managing an auditable process right through to disposal.  Our online system helps improve efficiency, saving valuable administration time and effort whilst also providing a full audit trail for all items held.  Immediate access to property information with powerful searching, means queries and requests for information can be dealt with quickly. It includes a full audit trail and produces detailed reports.

Developed using our flexible FoundationsTM platform, our solution runs on both a SQL or Oracle platform.

West Midlands Police

This web based system manages the complete property process from the moment items of property are seized or handed in to the police, through to their ultimate return or disposal.

Over 80 police stations and all property offices across the West Midlands now use the Property System which is accessible to over 8,000 officers and support staff via the force's Intranet. The system integrates with several other key police systems including Oracle HR, the force Crime Data Warehouse and Name and Address Gazetteer which helps reduce data entry and enables sophisticated data searches. In line with the West Midlands technical policy, the system uses Oracle 9i.

In terms of functionality the system deals with:

  • storage of property records
  • Searching for property
  • Seal management
  • Automatically generated reminders
  • Property Disposal
  • Auditing

The solution enables the police to easily produce pro-active "intelligence-led" policing reports and to analyze possible trends, for example, lost passports reported by area or timeframe.

The system which now holds over information on over 2 million items has saved West Midlands Police administration time and therefore reduced costs and is also helping to significantly improve performance in relation to the return of found or recovered property.  To find out more read the West Midlands Police case study.

We are currently developing a new lost and found property system for TfL which will provide real time information on lost property so that items can be returned to customers quickly and efficiently. The system includes a browser based user interface so that customers can register a lost item and search for their own lost items via the Internet.  The solution is being developed using our FoundationsTM framework.

TfL handles over 220,000 pieces of lost property each year from London's buses, the Tube, London Overground, the Docklands Light Railway, taxis and Victoria Coach Station.

States of Guernsey Government

The States of Guernsey Government are now using our exhibit tracking system to manage property seized by Customs and the police.
